What does an HR operations partner track every month?

The monthly cycle covers six areas: updating employee files, employee lifecycle documents, attendance and leave, payroll data preparation, follow-up on the agreed government platforms, and then a report showing what was completed, what is pending, and what needs the owner's decision.

1 · Employee files and data

The first thing updated each month is the state of the files: a new employee joined, someone's details changed, a document is close to expiry. The goal is that any information about any employee sits in one place and is current.

2 · Employee lifecycle documents

Preparing and following up the lifecycle procedures and their documents, from joining through to the end of the relationship, while sensitive decisions stay with the authorised person inside the company.

3 · Attendance, leave, and requests

  • Leave balances and their updates.
  • Pending requests waiting for approval.
  • Absence and lateness based on system or biometric records.
  • One consistent way for employees to submit a request.

4 · Preparing payroll data

Before month end, payroll data is prepared: changes, approved deductions, approved additions, and any update to employees. Preparation is one thing and financial execution is another: bank transfers and financial decisions stay with the owner and under their approval.

5 · Following up the agreed platforms

We follow up on the agreed platforms using the company's documented permissions, typically including Qiwa, GOSI, Mudad, Muqeem, Absher Business, and Baladi. Anything that needs the owner's permission or presence is raised clearly instead of stalling quietly.

6 · Upcoming deadlines and requirements

  • Expiry dates for documents and contracts.
  • Recurring renewals.
  • Fixed monthly requirements.
  • Any item deferred from last month.

7 · The operational report

The report is the output that measures the work. Three columns are enough: completed, pending and why, and what needs your decision. Without a report, operations turn into blind trust, which is the worst outcome for recurring work.
