HR operations calendar: what to review monthly and quarterly?

An operational calendar brings recurring deadlines together in one record: closing attendance and payroll, wage protection, employee updates, contracts and documents, and platform reviews. Each item has a date, an owner, a source and an approval, so the company does not depend on one person's memory.

Monthly review

  • Employees who joined and those whose relationship ended.
  • Attendance, leave and exceptions.
  • Changes to wages and allowances.
  • Preparing and approving the payroll run.
  • Uploading the Wage Protection file and reviewing the result.
  • Contracts or documents nearing expiry.

Quarterly review

  • Completeness of employee files.
  • Matching contracts and wages across systems.
  • User permissions on the platforms.
  • Pending cases that have recurred for more than a month.
  • Policies or forms that no longer reflect actual practice.

How do you build the calendar?

  • Write the task with a clear name.
  • Identify the platform or source.
  • Assign the person responsible for preparation and the approver.
  • Set a date ahead of the official deadline to allow time for review.
  • Link every completed item to evidence or a report.

The report a business owner wants

A brief report is enough: what has been completed, what remains and why, what needs a decision, and what the next deadline is. Do not turn the report into a list of messages or activities that do not show their impact.

Key takeaway

Turn deadlines from memory and messages into a calendar that sets out the task, the source, the owner, the approval and proof of completion.
